Procurement and project leads
Do we do this ourselves or bring in outside help?
You bring in outside help without losing the context. The demand becomes a request to your providers, and one step turns the award into a project in the same system.
Today
Outside support loses its context between the request and the project start
Demand in the project, request in the inbox
The demand is documented in the initiative, the request to providers is written separately and shorter. The bids therefore match the demand only in part.
The comparison is a spreadsheet somebody builds
Three bids in three formats. They only become comparable through a separate write-up, and the reasoning for the decision is written after the decision.
After the award the project starts from zero
Contract with procurement, scope with the provider, milestones in a new plan. What was agreed is entered a second time for the project.
What changes
The request comes out of the initiative, and the project comes out of the award
Awarding work is quick and on record. Small demands go out as a Quick Request to up to five providers, larger ones as a tender, in Enterprise with weighted criteria.

What you have afterwards
What procurement and project leads hold afterwards
- Comparable bids, because every provider gets the same questions from the initiative.
- A choice you can justify, in a comparison by named criteria, exportable for the file.
- A traceable award with reasoning, in Enterprise with the four-eyes principle and declared conflicts of interest.
- A project start without re-entry, with provider and milestones from the award, in Enterprise also with contract status.
Common objections
- We already have providers. Why ValueSpoc, then?
- You start with exactly those providers and invite them. The procedure is what is new: the same request, comparable bids, a reasoned award.
- What does awarding through ValueSpoc cost us?
- As the buyer you pay no fee. The awarded provider pays once on award, graded by volume, and invoices run directly between you and them.
- Is a Quick Request a formal procurement?
- No, and that is the point. Quick Request is for demands where a full procedure costs more than the contract. For large and formal awards the tender remains.
